Segments, client tags, and the RFM report

Tags on cards and RFM: who has not been in for a while, who comes often, who brings in most of the revenue. Segments can be used in a campaign.

A database of 800 people with no structure is a notebook, not a tool. Tags help you mark “wedding”, “paint allergy”, “only with Marina”. RFM looks at behaviour: how long since the last visit, how often they come, how much money they left.

In SmartBook tags live on the client card. The RFM report is built from real appointments, not from the receptionist’s gut feeling. Then a segment can be handed to a campaign: “have not been in for 90 days” or “used to come often, but the ticket dropped”.

A tag is a short label you can see in the list and on the card. Do not replace the whole history with them: for diagnoses and long comments there are notes. Tags are for the filter “show everyone with label X”.

RFM without magic

Three axes. Recency — how many days since the last visit. Frequency — how often over the period. Monetary — the sum. The report does not say “do this”; it shows who dropped off, who feeds the till, who comes rarely but spends a lot. The next move is yours: call, write, offer a package.

Do not confuse RFM with finances for the month. Finances are what you already received. RFM is a portrait of the database. Someone may have brought in 400 € a year ago and vanished since: last year’s revenue they are a hero, in RFM they are a candidate for a “we miss you” email.

How to use this once a month

Open the report, filter “have not been in for a while”, send a campaign. Two weeks later look at who booked. It is a boring habit that works better than a one-off “discount for everyone” promo.
