Client packages (visit packs)

Discounted visit packs: a template, a sale to the client, redemption at booking. You can include both regular services and group classes.

A package is when the client pays up front for several visits and gets a price lower than the price list. You get prepaid money and a clear plan of return visits. They get not having to wonder every time “how much does it cost today”.

In SmartBook a package starts with a template: name, number of visits, price, validity period, which services (and, if needed, group slots) it covers. You sold the template to a client — a purchased pack with a remaining balance appears on the card. On the next booking one visit is redeemed, and money for that visit is not put in the till: it was already there at the moment of sale.

Templates, not chaos

Typical packs are set up once: “10 color services”, “8 group classes”, “5 massages”. At sale you can adjust the price if you promised this client a different amount — but it is better to keep the mix of services in the template, otherwise a quarter later nobody will remember what exactly was sold.

Redeeming on a booking

The receptionist sees that the client has a matching pack and ticks the redemption. History: when it was redeemed, against which appointment, how many visits are left. You can undo a redemption if the appointment was moved or the client changed their mind the same day — the remaining balance comes back.

On the landing page the client can also close a visit with a package if the pack is active and the service is included. No need to call reception and ask “please take off a session for me”.

Payroll and the till are different things

Selling a package is company money. A service delivered against a package is the specialist’s work. In the payroll report the visit is counted at the full service price, even if the client came in on a pack. Otherwise the specialist who sees “package” clients would end up with no commission, and the person who sold the pack would get everything. This is covered in more detail on the staff payroll page.
